Promoting youth hockey in New Brighton, Mounds View, St. Anthony and Shoreview, MN

My my My my
Irondale Youth Hockey Association
Board Meeting: Thursday, July 17, 2008 at 6:00 p.m.
at the New Brighton Family Service Center, New Brighton, MN.
Address: IYHA, PO Box 120114, New Brighton, MN   55112 Website:
From President (Tom Lucarelli):
I hope you are enjoying the first part of summer. Whether you are vacationing, playing summer sports or just taking a needed break, make the most of our short summer season.
We all realize how expensive the sport of hockey is and we all should be looking for ways that we can help IYHA keep the cost of the game we enjoy as reasonable as possible. If you know of a good fundraising idea, pass the info along.
If you believe you or someone you know would be a good coach, please get in touch with one of the coordinators. Our hockey numbers need to increase; we need to get the word out – especially at the Initiation level to hopefully build a strong program. Tell your kids to tell their friends to give hockey a try; word of mouth advertising is the best tool we have.
Next month hockey registration will be starting; check the web site for specific dates and times.
All for now,
From Girls Coordinator (Mike Nundahl):
Congratulations to former IYHA players Anna McDonald, Gina McDonald and Meghan Lorence.
Anna is skating with the USA U22 team.  Her sister, Gina just finished a week at Lake Placid playing on one of 6 teams at the U17 Olympic Development camp.  Meghan Lorence has been invited to the U16 Olympic Development camp in Rochester, New York.
From Registration Coordinator (Jeanne Falconer):
We are working on total on-line registration for the 2008 – 2009 season and forward. Please remember that registration is in 2 parts: USA/MN Hockey registration and IYHA registration. USA/MN Hockey fees are the same as last season, $40 total. Please register with USA/MN Hockey first. You will need the confirmation number when registering with IYHA. Those 6 and under need to register, but there is no fee. That registration can be done now. IYHA registration information will be sent by separate communication.
Thank you to those who completed the surveys. Since last season was the first attempt at on line registration, a number of things were found that needed changing. We are attempting to make those changes and make the on line registration as straight forward as possible.
From Web Master (Torri Johnson):
Website News
1)  Sponsorship Report - the latest version of the sponsorship report has been created.  To access the report go the homepage/Documents.  Please share with your sponsors!  The slate will be wiped clean in August in anticipation of the new season.  The sponsorship report is a good way to share information with potential sponsors for the new year and show them how much potential exposure to new customers they will get.  Between November 2008 and June 2009, there were appx 264,000 hits to the website (all pages) and 1,404 times someone clicked on a sponsor's name or logo to go to the sponsor's own web page.
2)  New Look - There are some format changes to the home page in anticipation of the new year.   Take a look at our "new" website.  It is a way to keep the site fresh and interesting.
3)  Valleyfair Discount - Take a look at the home page to see information about Valleyfair's Youth Sports Days, August 8-10.  Take your family and friends to Valleyfair before the snow comes back.  A substantial discount to admission is available for all Irondale Youth Hockey Association families.
4)  Searching for Something? - Now that there is more information on the site, it can be difficult to find what you need.  There is a search engine right on the home page that will search for information within our website.  Look on the left hand column towards the bottom and enter a word or two.  It might help you find what you need.
5)  For Sale/Wanted - With a new season coming, post items you need to sell or items you are looking for on your website.  You can even include a picture.  The process is very user friendly.  Click on the Exchange button along the left hand side of the homepage.  You will need to validate your email first in order to post anything.  This avoids spammers from posting things they shouldn't.
6)  Register now with USA Hockey and MN Hockey online.  Go to the Links button along the left hand side of the home page and click on the logo to get started.  All players need to register with USA Hockey so get this part of registration out of the way now.
7)  Survey Info - Thank you for your responses to the survey regarding the website.  All of your comments were reviewed and there will be some changes based on your suggestions.  Feedback is always welcome and can be done at anytime by clicking on the Feedback button along the left hand side of the homepage.  The survey results will be posted on the website soon.
Please Note: The IYHA Board Meetings for July and August will start at 6:00 pm instead of the regular 6:30 pm time.

Irondale Youth Hockey Association June Meeting Minutes:
IYHA Meeting Board Meeting:  June 19, 2008Note: These minutes have not been approved. They will be reviewed, corrected as needed, and approved at the next regular Board of Directors Meeting.
Called to order at 6:38 p.m. by President Tom Lucarelli.
Board Members Present: Tom Lucarelli, Jean Aukee, Tom Johnson, Monica Crandall, Theresa Spiering, Mark Rupp, Jackie Rog, Chris Drews, Jeanne Falconer and Mike Nundahl
Board Members Absent: Bob Gabler
Guests: Scott (Dave’s Sports), Jeff Martin, Torri Johnson and Mark Willner
Minutes: Motion to accept board meeting minutes as presented (JR) (MN), motion carried.
Scott from Dave’s – donate 10 starter packages for kids new to hockey and then charge $75 per package thereafter (retail cost is $250) – outfit them head to toe - mites to peewees sizes – the recipients would come into the store for fitting and see what they have to offer – possibly give out coupon at registration – would be willing to add one more package if needed – possibly do a drawing for all new kids – all packages would stay with the association – when done would be washed and returned to the association – skates and sticks would be offered at reasonable rates to these kids too.
Old Business:
a.     Fundraising document – updated last week – sent to Rich Sonterre – add to standing reports for monthly review
b.     Lake Region accountability – Tom O didn’t go to meetings or ask questions – only saw reports from Jeanne – Per Lake Region (LR) 3 types of reports can be done - audit report, review of financial statements and compilation report – 3rd one is what LR does. $5 membership fee question – LR has been told by state and accountant that they need more sources of revenues then just pull tabs – dues is another source – tournament is another source and that is why LR is listed as a sponsor. LR meeting dinners are paid for – board is made up of volunteers – this is their only compensation. Should be more money coming in the future – new leases coming - $6000 coming to us from LR that went to SSR. We have to make choices for how the LR money is disbursed – ice time, equipment etc. They can’t just give it to us – LR is in the middle of their compliance review now – they usually get graded well - they offered Theresa to train her in on what they do and show her whatever she wants to see – will allow our treasurer and MV to view tournament account activity – Theresa meeting with Tom O on the 26th
c.     Initiation overage – Bob not present – Jean update group on emails between she and Bob – motion was made last month to make decision today – per Mike N 2006–2007 refunds were given but because of the Initiation fundraiser they had more than enough money – we should decide how to spend the overage and then maybe have the Audit Committee determine the amount and tell the board at a future meeting. Should we give it to Pee Wees and lower or whatever level now may have paid into it over the last few years? Should we spend it on replacement jerseys – first team being the Squirts or Pee Wees? JR motion – 2/3rds of the initiation overage should go to families in need and 1/3rd should go to equipment. Per JF maybe should be 50/50. No 2nd on JR motion.  CD – instead of a mini mite program have 3 sessions of a “learn to skate” program with a hired coach – 6 hours – only charge $40 for USA hockey – Nov 1 to Dec 15th, Jan 1 to February 15th and one other session – do at SSR – costs would be about $100 per coach and $200 ice time – if it is successful ear mark money for doing it in the future – Andover does similar program and very successful – should spend money for initiation.  CD made a motion, with the assumption that we have enough money to cover the costs, that part of the initiation overage will go to 2 learn to skate modules, with 6 hours of ice each, led by a professional coach, with the only charge being the $40 for USA hockey and any remaining balance of the initiation overage will go to equipment. JR 2nd – discussed Mark’s concern about not knowing the amount and making decisions how to spend it – all approved CD motion – motion carried.
d.     Tournament Director – Per Monica – Cheryl will be tournament director this year and will have Monica shadow her to be able to do it next year
New Business
a.     Survey Results – all comments will go to board members only and will be kept confidential; summary results were passed out to all at meeting and will be posted on the website. All board members need to respond to the comments for their areas so we can provide responses back to the membership. These will be shared at next board meeting.
b.     Volunteer program - see handout – Monica will make updates for next meeting – volunteer checks won’t be cashed – change to be made for exempt from paying section – remove new initiation level skaters – s/b just first year skates – can we hold volunteer checks when ice bills aren’t paid? No checks were cashed last year and some maybe should’ve been. Do a portion of the hours have to be designated as tournament?  Check should be undated so can still cash and don’t have stale dated check issue – website has volunteer functionality that could be used.
c.     Total online registration – Jeanne/Torri – registration for USA/MN hockey and IYHA are 2 separate things – Torri did an overhead – old program that is out there vs new and improved version - break down by level – mites, squirts, peewees, bantams – force fill out volunteer program before can register for level – if do MN hockey online then they do the liability forms - $30 USA $10 MN hockey – can link the USA hockey id to our registration form – coaches have to register and pay. Then IYHA is reimbursed in order to reimburse them – get visa check cards for coaches to use to register?  People could register online at registration and pay check then, could register online at home and then mail in check or could use credit cards online – we need to make a decision and get going – credit card users could have ice bills sent to them – online registration ensures data integrity & time saver for Jeanne – Torri has the requirements for taking credit card data online – fee per transaction – Visa and MC - 2.2% plus 20 cents per transaction – Visa gift card or debit cards 3.05% plus 20 cents – American Express and Discover – only 10 cents (no %). Torri questions:
a.     we need to decide on the format choice – specific team selection
b.     ensure volunteer registration and then register – Yes
c.     we need to decide on if we should ensure MN and USA hockey sign up online
d.     will the board charge a fee for using a credit card online
JR motion to have IYHA set up a credit card system by Theresa, Jeanne and Torri – CD second – all in favor, motion carried. CD motion to have IYHA only allow registration for USA hockey and MN hockey online – if not at home an outlet will be provided – TS second – all in favor, motion carried
d.     Use of Credit Cards - registration/monthly ice bills – Jeanne
e.    Mark Rupp asked to talk about Election procedures and bylaws in general – need to be updated

Initiation Program Coordinator: Bob Gabler. – not present, no report
Boys Program Coordinator: Mark Rupp. – warm up and tryout times being determined – bantam parent meeting set up for next week along with acoaches meeting – Torri sent out emails and will be on website – numbers of players/teams at coaches meeting

Ice Commissioner: Jackie Rog.  – got split of warm up ice from Mike N – have Torri post it? OK.  Mark will have his ice to Jackie soon – 65 hours at Coliseum booked for next year – Jackie wants to know number of kids and number of teams for scheduling ice
Registration Coordinator: Jeanne Falconer. –- need to set up registration dates – because online maybe could be less in person dates – August 12th – meeting with registrar to get all the stuff they need
Equipment Manager: Tom Johnson. – will be talking to Mike, Bob and Mark – need to get socks ordered in July
Standing Reports:
Player and Coach Development: Mark Rupp. – spoke with Jeff O – committee chair from last year – asked to be chair this year too – still waiting to here his decision
Lake Region: Jeanne Falconer. – Torri question for Theresa – LR – any documents that we get from LR could be put out on the website since they don’t have a website. Please patronize the sites with pull tabs – Katies, Moes, Our Bar, Big Ten and Champps – please go and do business at these businesses!
Additional business – Torri put our business (IYHA) out on the Google website - when people Google Mounds View, IYHA will be listed on the page – for registration need warm up and try out schedule, need Theresa to decide on costs and Monica meeting with tournament committee in 10 minutes
Motion to adjourn meeting (CD) (TS); motion carried. Meeting adjourned at 8:18 p.m.
